Setting up e-mail notification...
The Post-Audit Notification system (PAN) is a web-based system that replaces the mainframe-based ASAP system.
The PAN system automatically sends out notifications to account reviewers whenever a deposit is made. For on-campus users, your DSA needs to make sure you have access to the DDF system, are setup as a reviewer for the FAU you have chosen to deposit funds. For access to PAN, please make sure your logon has been granted the following function code: EA001. AIS Access Services may be contacted for questions about granting access to users.
For UCOP users, please provide your AIS logon ID and we will set you up as a reviewer on the depository account.
At this time, we are working to give our off-campus (UC system-wide) merchants more system access. Once we have this process in place, we will notify you so we can set you up to receive these e-mail messages.
Viewing transaction information...
Transaction detail is available within QDB. Your QDB logon must be granted access to the QDB cashiering module. The cs_cc_cp_detl table contains a number of fields that are captured during authorization and settlement. Click here for a data model.

Information about deposits made can be obtained in a number of ways. Existing users with access to QDB can query data directly. General Accounting provides a web-based reports system that allows reviewers to view the General Ledger in a quick and customizable way. These reports are accessible from their website: http://www.accounting.ucla.edu .
Department Deposit Form Online (DDF Online):
Users familiar with the DDF system can use it to find information about deposits. Log in to DDF Online for more information: https://cswv.ais.ucla.edu/barddf/ .
Getting access for non-UCLA merchants:
For our UC system-wide partners, a number of options are available for you. Some of you may already have access to UCLA systems, like QDB or the Financial System. Simply provide us with your UCLA/AIS login information, and we will find out what access you may need.
For users who do not have UCLA system access, we are currently working with AIS to determine the best way to give you this access.
All users have access to our secured FTP server. From this site, you will be able to download log files with detailed transaction information. Many departments use this information to reconcile to the data they collected on their website.
Each day when you have transactions processed, we will automatically transfer 2 files with transaction information to this site.
